In short. No cookies, no analytics, no tracking scripts and nothing sold to anyone. We hold only what you send us through a form or a payment, we use it only to do your work, and you can have it deleted by sending one email.
1. Who we are
Flowmatix is a registered sole proprietorship based in Brampton, Ontario, Canada, operating https://flowmatix.ca. We are responsible for the personal information described here. For any privacy question or request, email hello@flowmatix.ca — it reaches a person, not a ticket queue.
2. What this site does not do
Worth stating plainly, because it is unusual. This website:
- sets no cookies — there is no consent banner because there is nothing to consent to
- runs no Google Analytics, no Meta pixel, no session recording and no heatmaps. We measure aggregate traffic only, through Vercel Web Analytics: page views, referring site, country, and device type. It is cookieless, it does not follow you to other sites, and it never builds a profile of you as an individual
- runs no advertising or third-party tracking scripts, and does not build profiles of visitors
- loads no fonts from Google at page load — typefaces are downloaded at build time and served from our own domain, so your browser never calls Google
- never sells, rents or trades personal information. We do not share it for advertising by anyone
You can read this entire site without giving us anything. We only hold personal information you deliberately send us.
3. What we collect, and when
When you browse. Our hosting provider records standard server logs for security and reliability: IP address, the page requested, timestamp, referring page and browser user-agent. We do not use these to identify you and we do not combine them with anything else.
When you submit an enquiry form. Your name and email, and whichever of these you choose to fill in: phone, company, industry, project type, budget range, timeline, the features or solution you selected, and your message.
When you become a client. Nothing is sold or charged on this website — there is no checkout and no card form, so we never collect payment details here. Once you engage us we hold the billing details needed to invoice you: your name or business name, billing address and email. Payment itself happens through your bank or e-transfer, outside this site.
4. Why we use it
We use personal information only to:
- reply to your enquiry and quote your project
- carry out work you have paid for, and deliver it to you
- take payment, issue receipts, and keep the records tax law requires
- contact you about work in progress, including urgent findings
- keep the site secure and working
We rely on your consent when you choose to send a form, and on the necessity of performing our contract with you once you become a client. We do not send marketing newsletters. If we ever start, it will be opt-in and separately consented to.
5. Who else handles it
We keep the list short on purpose. Each provider only receives what it needs:
- Resend — delivers the emails our forms generate. Receives the contents of your submission and your email address. Resend privacy policy
- Vercel — hosts the website. Handles server logs, including IP addresses. Vercel privacy policy
- Microsoft 365 — our business email. Holds correspondence you send us once it arrives in our inbox.
We may also disclose information where the law requires it, or to establish or defend a legal claim.
6. Where your information goes
Flowmatix is in Canada, but the providers above operate globally and your information may be stored or processed outside Canada, including in the United States. While it is in another country it is subject to that country’s laws, and may be accessible to its courts and law enforcement under those laws. We tell you this because Canadian privacy law requires it, and because you should know it before sending us anything sensitive.
7. How long we keep it
- Enquiries that do not become projects — kept up to two years, then deleted.
- Client project records — kept for the life of the engagement and for six years afterwards, so we can support what we built and answer questions about it.
- Payment and tax records — kept six years, as required by the Canada Revenue Agency.
- Server logs — retained by our host on their own short schedule, typically weeks rather than months.
Ask us to delete something sooner and we will, unless the law requires us to keep it.
8. Your rights
You can ask us to:
- tell you what personal information we hold about you, and give you a copy
- correct anything inaccurate or incomplete
- delete what we hold, where we are not legally required to keep it
- withdraw your consent to any further use
Email hello@flowmatix.ca. We will respond within thirty days, free of charge. We may need to confirm who you are first, so we do not disclose your information to someone else.
If you are unhappy with our response, you can complain to the Office of the Privacy Commissioner of Canada. If you are in a province or country with its own privacy regulator, you may also complain to them.
9. How we protect it
The site is served over HTTPS. We do not collect or store card details anywhere — this website has no checkout, and payment happens through your own bank. Access to enquiry and client information is limited to the people who need it to do the work. No system is perfectly secure, and we will not pretend otherwise — if a breach affects your information and creates a real risk of significant harm, we will notify you and the Privacy Commissioner as the law requires.
10. Children
Our services are sold to businesses and adults. We do not knowingly collect personal information from children under sixteen. If you believe a child has sent us information, email us and we will delete it.
11. Changes to this policy
If we change how we handle personal information — for example by adding a new provider or, one day, analytics — we will update this page and change the date at the top. Material changes affecting information we already hold will be notified to affected clients by email.
