What is AI Chatbot?

Definition

An AI chatbot is a chat assistant on a website, app or messaging channel that uses a large language model to understand questions written in everyday language and reply in full sentences, usually drawing on the business's own information such as services, hours, policies and prices.

How an AI chatbot works

Older chatbots followed decision trees: click a button, get a scripted reply. AI chatbots read the visitor's actual words, work out what they mean and write a response. To keep answers accurate, a good build does not rely on the model's general knowledge. It retrieves the relevant passages from your approved content first, then answers from those, a method called retrieval-augmented generation.

Example: a dental clinic's chatbot gets the message "do u take sun life and can i come sat." It finds the insurance and hours pages, confirms the clinic bills that insurer directly, notes Saturday hours, and offers a booking link. If the visitor describes severe pain, it skips the small talk and shows the emergency line instructions the clinic wrote.

Why it matters for your business

Many enquiries arrive outside office hours, and people who get no answer often move on to the next result. A chatbot answers instantly, captures contact details and routes serious leads to your team, so the conversation is waiting in the morning rather than lost overnight.

It also takes repetitive questions off your staff. The catch is accountability: your business is responsible for what its bot says. In Moffatt v. Air Canada, a British Columbia tribunal held the airline responsible for incorrect information its chatbot gave a customer. Our breakdown of the Air Canada chatbot ruling explains what that means for smaller firms. This is general information, not legal advice.

Common mistakes

  • Letting the bot answer from general internet knowledge instead of your approved content.
  • Hiding the route to a real person, which frustrates exactly the customers you most want to keep.
  • Never reviewing conversation logs, so wrong answers repeat for months.
  • Pretending the bot is human. Disclosure rules are spreading, as our overview of AI chatbot disclosure laws shows.
  • Measuring chat volume instead of outcomes such as booked appointments or resolved questions.

Frequently asked questions

Is an AI chatbot better than live chat?

They solve different problems. A chatbot is instant and always on; live chat brings human judgment. Many businesses run a hybrid where the bot handles routine questions and hands complex ones to staff. See our comparison of AI chatbot vs live chat.

Will an AI chatbot make things up?

It can, if built carelessly. Restricting answers to your own content, telling the bot to say "I don't know" when the information is missing, and testing with real questions before launch reduce the risk sharply.

What does an AI chatbot need from me?

Accurate, current information: services, policies, pricing rules and the questions customers actually ask. The quality of that material sets the ceiling on the quality of the answers.
