Websites & Enrolment Systems for Schools, Tutors and Training Providers
Websites, online enrolment, course platforms and marketing for private schools, tutoring centres and training providers in Ontario.
Industries · Education & Training
Parents and learners compare schools and programs online long before they visit. Flowmatix builds websites, enrolment flows and course platforms that make your programs easy to understand and easy to join. The work fits private schools, tutoring centres, language schools, career colleges, corporate trainers and course creators.
The problems we solve
Enquiries that stall before enrolment
A parent downloads a brochure, then hears nothing for a week. Clear program pages, online applications and automated follow-up (a tour invitation, an open-house reminder, a nudge when the application is half done) move families from interest to enrolment.
Paper forms and manual registration
Every term, staff re-key registration forms, chase signatures and reconcile payments. Online registration with e-signatures, payments and document uploads saves those hours and reduces errors in student records.
Courses that could be sold online
If your best instructors teach the same material every term, a course platform or member area lets you deliver it to learners anywhere, with progress tracking and certificates.
Parents asking the same questions
Schedules, fees, closures, what to bring. A parent portal and a well-organised FAQ answer most of them, and an assistant can handle the rest outside office hours.

- Online enrolment, payments, waitlists and e-signatures

- Local SEO and paid search for enrolment periods
What a strong education website needs
Education is a considered purchase, often made by two parents together, sometimes with a student who has opinions. The site has to support a decision that takes weeks.
- Program pages with outcomes and logistics. Who it is for, schedule, duration, prerequisites, fees, what graduates go on to do, and how to apply. Vague pages generate phone calls instead of applications.
- Admissions explained step by step. Deadlines, documents, assessments and what happens after applying.
- Proof. Faculty profiles, accreditation or registration status, facilities, and real photos of real classrooms.
- Events that convert. Open houses, trial classes and info sessions with online registration and reminders.
- Accessibility from the start. Students and parents with disabilities need to use the site too. WCAG AA should be a build requirement, not a retrofit.
- Integrations. Student information system, payments, LMS, CRM for admissions and calendar tools, connected so a new enrolment creates records everywhere it needs to.
Rules and privacy to get right
Education rules depend heavily on what kind of institution you are, so start by being clear which category applies.
- Career colleges. Ontario career colleges are governed by the Private Career Colleges Act, 2005. Ontario's advertising rules for career colleges say a college must be registered and its vocational programs approved before advertising them, statements about facilities, instructors and history must be accurate, and ads must state the language of instruction when it isn't English or French. That applies to websites and social media.
- Private businesses and children's data. Tutoring centres, language schools and course sellers are usually covered by PIPEDA. When students are minors, get consent from parents or guardians, collect only what you need, and be careful with student photos and video on public pages.
- Public institutions. School boards, public colleges and universities fall under Ontario's public-sector privacy laws rather than PIPEDA, and they are designated public sector organizations under the AODA regardless of size.
- Accessibility. Private organizations with 50 or more Ontario employees must also meet WCAG 2.0 AA under the AODA. Our article on AODA, WCAG and AI tools explains what automated fixes can and can't do.
- Enrolment marketing. Nurture emails to prospective families are commercial messages under CASL and need consent and an unsubscribe link. Quebec students bring Law 25 obligations if you collect their data.
This is general information, not legal advice. Your ministry contact or legal counsel can confirm what applies to your institution.
Your first 90 days
- Days 1 to 30: rewrite the program pages. Interview admissions staff about the questions they hear most, then build program pages that answer them, with a clear apply button on each.
- Days 31 to 60: move registration online. Launch online applications, e-signatures and payments for the next intake, with automated follow-up for incomplete applications and event registrations.
- Days 61 to 90: open the portal or course platform. Start with one cohort or one course, gather feedback from parents, students and instructors, then expand. Track enquiry-to-enrolment rate across all three stages, along with the number of registration questions reaching the office each week, so you can see where the next fix should go.
Common questions

Can families pay online?
Yes. Tuition, deposits and payment plans can be handled securely online, with receipts generated automatically.
Can the site support more than one language?
Yes. Multilingual sites help international and newcomer families, and career colleges should check the advertising rules on translations before launching other languages.
