Websites, RFQ Systems & Portals for Manufacturers

Capability websites, RFQ forms, product configurators, customer portals and ERP integrations for manufacturers in Ontario.

Industries · Manufacturing

Engineers and buyers shortlist manufacturers online before they ever send an RFQ. Flowmatix builds capability-focused websites, quoting tools and portals that win more of those shortlists, and the integrations that keep orders moving once they arrive. The work suits job shops, contract manufacturers, fabricators, machine shops and product manufacturers selling B2B.

The problems we solve

Websites that undersell your capabilities

A buyer searching for five-axis machining in titanium, or ISO-certified sheet metal within a day's drive, wants specifics. Detailed capability, equipment, materials, tolerance and certification pages give them the facts they search for and make your shop easy to shortlist.

RFQs that arrive incomplete

"Can you quote this?" with a blurry photo wastes estimating time. Structured RFQ forms collect drawings, materials, quantities, finishes, tolerances and timelines up front, and route each request to the right estimator.

Customers calling for order status

Customer service spends hours answering "when will it ship?" Customer portals connected to your ERP show order status, documents such as certs and packing slips, and one-click reorders.

Data trapped on the shop floor

Production numbers live on whiteboards and in spreadsheets, so managers find out about problems late. Dashboards that pull from machines, MES or ERP give a live picture of throughput, scrap and on-time delivery.

What a strong manufacturing website needs

Industrial buyers are technical, risk-averse and short on time. They want evidence, not adjectives.

  • Capability pages by process. Machining, fabrication, moulding, finishing, assembly: each with equipment lists, envelope sizes, materials and tolerances.
  • Industry pages. Aerospace, automotive, medical, food equipment and energy buyers each care about different certifications and documentation.
  • Certifications and quality. ISO and other registrations with scope and registrar, inspection equipment and your quality process. Only claim what you hold today.
  • Proof. Part photos, short project stories and industries served, with customer names only where you have permission.
  • An RFQ path on every page. Upload drawings, specify quantities, and get an acknowledgement with an expected response time.
  • Integrations. ERP or MRP, CRM, quoting software and file storage, connected through proper API integration or scheduled file exchange.

Rules and privacy to get right

Manufacturers don't usually think of their website as regulated, but RFQ uploads and shop-floor systems bring real obligations.

  • Controlled goods and technical data. Canada's Controlled Goods Program requires organizations to register before they examine, possess or transfer controlled goods, including before receiving bid documents that contain controlled goods or technology. If you quote defence work, your RFQ upload, storage and access controls need to fit your registration and security plan, and US-origin data can bring ITAR obligations. Generic file-sharing links are not appropriate.
  • Monitoring employees. Machine logins, badge systems and production tracking can count as electronic monitoring. Ontario employers with 25 or more employees must have a written electronic monitoring policy.
  • B2B email. CASL applies to messages sent to business addresses, so newsletters and promotions to buyers need consent and an unsubscribe link. The CRTC's CASL FAQ explains the exceptions.
  • Privacy and claims. Contact data in your CRM falls under PIPEDA. Certification and capability claims are advertising, and the Competition Act prohibits misleading representations.
  • Accessibility. Manufacturers with 50 or more Ontario employees must meet WCAG 2.0 AA under the AODA, which also covers careers pages.

This is general information, not legal advice. Your security officer or trade counsel should review anything involving controlled technology.

Your first 90 days

  1. Days 1 to 30: document capability. Interview estimators and floor leads, photograph equipment and parts, and list every certification with its scope. This becomes the content for the new site.
  2. Days 31 to 60: launch the site and RFQ flow. Publish process and industry pages and a structured RFQ form with secure uploads, routed into your CRM with response-time tracking.
  3. Days 61 to 90: open the portal. Connect order status and documents from the ERP for a handful of key accounts, then expand. Not sure whether to build or buy the portal? Read custom software vs SaaS.

Common questions

Can you integrate with our ERP?

Usually yes, via API, database or file exchange. The integration path is confirmed during scoping.

Can buyers upload drawings with an RFQ?

Yes. Secure uploads for drawings, models and specifications are built into the form, with access limited to the people who need them.

When does a product configurator make sense?

When you sell made-to-order variations of a standard product, such as sizes, materials, mounting options or finishes, and your team spends hours turning those choices into quotes. A configurator applies your engineering rules, prevents impossible combinations, and produces a priced quote or a clean specification for review. If every job is genuinely custom, a structured RFQ form is the better tool.

Do B2B buyers really find suppliers through search?

Engineers commonly search for specific processes, materials and certifications when building a supplier list. Pages that match those terms precisely put you on the list. Request a quote to start.
