Websites & Client Intake for Immigration Consultants and Law Firms
Credible, multilingual-ready websites, secure online intake, document checklists and CRM automation for immigration consultants and law firms in Toronto, the GTA and beyond.
Industries · Immigration & Legal
People choosing an immigration consultant or lawyer are making a high-stakes decision, often in a second language. They look for credibility, clear explanations of each program or practice area, and a simple way to start. Flowmatix builds the websites and intake systems that give them all three.
Flowmatix is a technology partner. We build the websites and systems your practice runs on; we don't provide immigration or legal advice.
The problems we solve
Trust has to be earned in seconds
Prospective clients have often heard stories about unlicensed advisers. Professional, accessible sites that show your licence or membership details, your team and your process clearly give them the signals they look for before they book.
Consultations booked without the right information
Secure online intake forms collect program or matter type, key dates, immigration history and documents before the first meeting, so consultations are productive and potential conflicts are flagged early.
Document chasing
Study permits, work permits, sponsorships and appeals each need different evidence. Program-specific checklists with automated reminders reduce the back-and-forth that slows every file.
Clients asking "any news?"
Processing can take months. A client portal that shows file status, next steps and outstanding items answers the question without a phone call, in the client's own language where possible.

What a strong immigration or law firm website needs
- Verifiable credentials. Each licensee's name, licence or membership number and regulator, with a link to the public register so visitors can check for themselves.
- Program and practice pages with substance. Who qualifies, the main steps, typical documents and the risks. Keep each page dated, because programs change often.
- Fees and process. How consultations work, whether they are paid, and how retainers are structured.
- Languages that match your clients. Professional translation for key pages, not machine output you haven't reviewed.
- A secure intake path. Forms that encrypt data, collect only what you need, and avoid sending passports over ordinary email.
- Integrations. Practice management, calendar, payments, e-signature and document storage, so a booked consultation becomes a matter record automatically.
Rules and privacy to get right
Immigration and legal services are regulated professions, and marketing is part of what the regulators oversee.
- Who may be paid to represent. Under federal immigration law, only authorized representatives may charge for immigration advice: lawyers and paralegals in good standing with a Canadian law society, Quebec notaries and licensees of the College of Immigration and Citizenship Consultants. IRCC explains this on its page about using an immigration and citizenship representative, and clients can check consultants on the College's public register.
- Consultant marketing rules. The College's Code of Professional Conduct includes sections on marketing. For example, a client endorsement may be used only if it was genuinely given, is accurate, and the client approved its public use in writing. Use of the College's name and logo is also restricted.
- Lawyer and paralegal marketing. The Law Society of Ontario's Rules of Professional Conduct require marketing to be demonstrably true, accurate and verifiable, and not misleading. The rules also restrict advertising yourself as a "specialist" unless certified by the Law Society.
- Client confidentiality and privacy. Intake data includes passports, family details and sometimes health or criminal history. PIPEDA applies alongside professional confidentiality duties, and Quebec clients bring Law 25 obligations. Choose hosting and AI vendors with that in mind.
- Accessibility and marketing email. Firms with 50 or more Ontario employees must meet AODA website requirements, and newsletters need CASL consent.
This is general information, not legal advice, and your regulator's current rules govern.
Your first 90 days
- Days 1 to 30: credentials and intake. Add licence details and register links site-wide, and replace email intake with a secure form and paid consultation booking.
- Days 31 to 60: program content. Rebuild the top program or practice pages in your clients' main languages, each dated and reviewed by a licensee.
- Days 61 to 90: portal and automation. Launch checklists and the status portal for one program, then expand. Before adding AI, read AI for immigration consultants or AI for law firms in Canada.
Common questions
Can the website be in more than one language?
Yes. We build multilingual sites and can launch with the languages your clients speak most.
Is client information kept secure?
Intake forms and portals use encrypted connections and access controls, and data can be hosted in Canadian regions where required.
Can an AI chatbot answer immigration questions on our site?
It can answer general questions about your services, fees and booking. It should not give advice on a person's case, which is the licensed work only your team can do, and it should say plainly that it is an automated assistant.
Can clients pay for consultations online?
Yes. Paid consultation booking takes payment at the time of booking, sends the intake form automatically and adds the appointment to the right licensee's calendar. Retainer payments can run through your practice management or trust accounting tools so records stay in one place. Request a quote to map your intake.
