Websites & Lead Generation for Insurance and Mortgage Brokers

Compliant, trust-building websites, lead capture, CRM automation and local SEO for insurance brokers and mortgage agents in Ontario.

Industries · Insurance & Mortgage

Insurance and mortgage clients need to trust you before they share their finances. Flowmatix builds professional websites, secure lead capture and follow-up automation that turn researchers into booked appointments, for mortgage brokerages and agents, insurance brokers and independent advisors. Flowmatix builds the technology only; licensed advice stays with you.

The problems we solve

Leads that go cold

Rate shoppers fill in three forms in one evening and work with whoever calls first. Instant, personalised follow-up by email and SMS, plus an assistant for after-hours questions, keeps leads warm until a licensed person can take over.

Websites that look like every other broker

Template sites with stock photos of handshakes say nothing about who you serve. Specialised pages for first-time buyers, self-employed borrowers, renewals, commercial lines or contractors' insurance help you stand out and rank for the searches your ideal clients make.

Manual application intake

Collecting income documents, IDs and property details over email is slow and risky. Secure online forms gather what you need before the first call and keep sensitive files out of inboxes.

Renewals that slip away

Mortgage and policy renewals are some of the most valuable business you have, and easy to lose to a lender's auto-renewal letter. Automated reminders months ahead put you back in the conversation first.

What a strong insurance and mortgage website needs

  • Licensing front and centre. Brokerage name and licence number, each person's licence type, and a link to the regulator's public register.
  • Pages by client situation. First home, refinance, renewal, self-employed, new to Canada; or home, auto, business and life. Each answers that client's real questions.
  • Calculators with honest assumptions. Show the rate, amortisation and terms used, and label results as estimates.
  • A short first step. Asking for a full application on the first visit scares off people who are still comparing. Start with name, contact and goal, then collect the rest securely once a conversation has begun.
  • Reviews and real people. Advisor photos and bios, and reviews you are allowed to display under your regulator's rules.
  • Integrations. CRM, e-signature, document upload, calendar and lender or carrier platforms where they offer connections. Lead scoring helps the team call the most promising enquiries first.

Rules and privacy to get right

Both industries are licensed in Ontario, and their regulators treat websites and social posts as advertising.

  • Mortgage advertising. Under the Mortgage Brokerages, Lenders and Administrators Act, a brokerage must clearly and prominently disclose its authorized name and licence number in all public relations materials, including web pages and email. Agents and brokers must also show their name, licence type and their brokerage's name and licence number. See FSRA's mortgage advertising requirements.
  • Anti-money laundering. Since October 11, 2024, mortgage administrators, brokers and lenders have been reporting entities under federal anti-money laundering law, with duties for compliance programs, client identification, record-keeping and reporting. FINTRAC's mortgage sector guidance sets them out. Intake and identity-verification flows should capture what your compliance program needs.
  • Insurance broker advertising. RIBO's Regulation 991 requires brokers to advertise only under the name they are registered under and prohibits false or misleading statements about a policy's terms, benefits or advantages.
  • Privacy. Income, credit and health details for life insurance are sensitive information under PIPEDA. Quebec clients add Law 25 duties.
  • Follow-up and chatbots. Promotional messages need CASL consent. If an AI assistant chats with prospects, say clearly that it is automated and keep it away from advice; our article on AI chatbot disclosure laws explains why.
  • Accessibility. Firms with 50 or more Ontario employees must meet AODA website requirements.

This is general information, not legal advice. FSRA, RIBO and your compliance officer have the final word.

Your first 90 days

  1. Days 1 to 30: compliance pass and lead routing. Add required licence disclosures everywhere, then route every form and call into the CRM with instant acknowledgement.
  2. Days 31 to 60: secure intake. Replace emailed documents with secure upload and e-signature, aligned with your FINTRAC identity steps.
  3. Days 61 to 90: niche pages and renewals. Publish pages for your best client segments and switch on renewal reminders. Speed to lead explains why response time matters so much here.

Common questions

Do you provide financial or insurance advice?

No. Flowmatix is a technology partner. We build the websites and systems brokers and agents use.

Is client information secure?

Yes. Forms are encrypted, access is role-based, and Canadian hosting options are available.

Can the site show current rates?

Yes, from a feed or a simple admin screen you update. Rates should be dated and labelled clearly, since stale rates create complaints.

Can you help us get more referrals?

Yes. Automated check-ins after closing or binding, an easy referral form and a thank-you sequence for clients who refer make it simple for happy clients to send friends your way. Realtor and partner portals can also share deal status with referral partners, with the client's consent. Request a quote to plan it.
