Online booking, Instagram marketing, review automation and fast websites for salons, spas, med-spas and wellness clinics across Toronto, the GTA and beyond.

Industries · Beauty & Wellness

Salons, spas, med-spas and wellness clinics fill their calendars from Instagram, Google and word of mouth. The business that is easy to book, looks the part and follows up after every visit wins the repeat client. Flowmatix builds that system: the website, the booking flow, the reminders and the content that keeps your chairs and treatment rooms busy.

The problems we solve

Bookings lost to "I'll call later"

Clients decide to book at 11 p.m. while scrolling, not during your opening hours. Online booking on your website and Instagram profile lets them grab a slot the moment they decide, and automatic reminders cut down on no-shows.

Great work, few reviews

Happy clients rarely think to leave a review unless you ask. Automated requests sent shortly after each appointment build your Google rating steadily, which matters for both search visibility and first impressions.

Clients who never come back

A colour client due in six weeks, a facial client due in a month: rebooking reminders timed to each service, plus birthday offers and a short newsletter, bring people back on schedule without anyone at the desk tracking dates.

Deposits and cancellations handled awkwardly

Long services and new clients are where no-shows hurt most. Card-on-file or deposit rules at booking, with a clear cancellation policy shown before checkout, protect your time without uncomfortable conversations.

What we build

  • Fast, visual websites that show your work, team and treatment menu
  • Online booking connected to your calendar or booking platform
  • Instagram and Facebook content and ads through our social media marketing service
  • Review automation and reputation management
  • Email and SMS rebooking campaigns
  • Local SEO for "near me" searches

What a strong beauty and wellness website needs

Your site has two jobs: make someone want the experience, and make booking it take under a minute.

  • A treatment menu written for clients. Each service with duration, starting price, who it suits, what to expect and aftercare. Med-spa and clinical services need extra detail on risks and who performs them.
  • Real photography. Your space, your team, your work. Stock images of strangers undercut a business built on personal trust.
  • Team profiles. Clients book people, not businesses. Show specialties, credentials and which services each person offers, with a link to book them directly.
  • Booking in one tap. A sticky "Book" button on mobile, deep links into the booking flow from every service page, and gift cards for sale online.
  • Policies in plain view. Deposits, cancellations, late arrivals and patch tests, stated before payment.
  • A complete map presence. Your Google Business Profile with correct categories, services, hours and fresh photos.

Rules and privacy to get right

Beauty and wellness spans everything from a barbershop to a physician-led aesthetics clinic, and the rules scale with how clinical the service is.

  • Personal service settings. Ontario's O. Reg. 136/18 governs salons, spas, nail, tattoo and similar businesses. Among other things it requires operators to collect a client's name and contact details before most services (hairdressing and barbering are an exception) and to post inspection results when the public health inspector asks. Your booking system can capture these details cleanly instead of on paper.
  • Regulated health services. Registered massage therapists, naturopaths and other regulated professionals are generally health information custodians under Ontario's PHIPA, so intake forms and notes need health-grade privacy handling. Their colleges also set advertising rules.
  • Medical aesthetics. Where physicians are involved, the CPSO's advertising policy applies: the regulation prohibits testimonials, and before-and-after images may be used only where the public will not see them unsolicited. That changes how reviews and galleries appear on a med-spa site.
  • Marketing consent. Rebooking promos, birthday offers and newsletters are commercial messages under CASL and need consent and an unsubscribe link. Appointment reminders for a booked service are treated differently.
  • Privacy and accessibility. Non-health businesses fall under PIPEDA. Businesses with 50 or more Ontario employees must meet AODA website requirements.

This is general information, not legal advice. Check specifics with your college or public health unit.

Your first 90 days

  1. Days 1 to 30: make booking effortless. Connect booking to the website, Instagram and Google profile, set deposit and cancellation rules, and switch on reminders.
  2. Days 31 to 60: start the review engine. Automate review requests after each visit and reply to every review. How to get more Google reviews covers timing and wording.
  3. Days 61 to 90: build the return loop. Launch rebooking reminders by service, a birthday offer and a monthly email, then track repeat-visit rate and no-shows month over month.

Common questions

Can you connect to the booking software we already use?

Usually yes. We integrate with popular salon, spa and clinic booking platforms or embed them cleanly into your site.

Do you create Instagram content?

Yes. Our social media service plans, designs and schedules posts, and runs Meta ads to reach new clients nearby.

Can we show before-and-after photos?

For many salon and beauty services, with client consent, yes. For physician-led treatments, CPSO rules limit where they can appear, so we design galleries that the client opens deliberately rather than banners on the home page.

Can clients buy gift cards on the website?

Yes. Digital gift cards can be sold through your booking platform or online store and redeemed at checkout. Ontario's consumer protection regulation generally stops most gift cards from expiring, so the terms are set up accordingly. Get a quote for your setup.
