What is Marketing Automation?

Definition

Marketing automation is software that sends messages and updates records automatically based on rules, timing and customer behaviour, so follow-ups, nurture emails and lead routing happen without someone doing each step by hand.

How marketing automation works

Every automation has three parts: a trigger (something happens), conditions (who it applies to) and actions (what the system does). The platform connects to your website forms, CRM, email tool and sometimes text messaging.

Take a renovation company that offers a free kitchen planning guide. The flow might be:

  • Trigger: someone downloads the guide.
  • Immediately: send the guide and add the contact to the CRM with the source recorded.
  • Day 3: email a short case-style article on budgeting a kitchen.
  • Day 7: if they clicked the pricing link, alert a salesperson and create a call task; if not, send an invitation to book a design consultation.
  • Any time they book: stop the sequence.

Behind the scenes, the system can also adjust lead scores, tag interests, and hand data to other tools through integrations or webhooks.

Why it matters for your business

Most buyers are not ready the day they first enquire. Automation keeps you in touch consistently while your team focuses on people who are ready now. It also removes the gaps that cost sales: the quote nobody followed up, the new lead that sat in an inbox over a long weekend.

Done well, it makes communication more relevant, not more frequent. Messages arrive because of what a person did, which is very different from blasting the whole list every week.

Common mistakes

  • Emailing people without valid consent. In Canada, commercial electronic messages fall under CASL; our plain-English CASL guide covers the basics. This is general information, not legal advice.
  • Building long, complex flows before proving that a simple three-email sequence works.
  • Forgetting exit rules, so customers who already bought keep receiving sales emails.
  • Letting the CRM and email tool disagree about who a contact is, which creates duplicates and mis-sends.
  • Never reading the replies that automated emails generate.

Frequently asked questions

Is marketing automation only email?

No. Email is the most common channel, but flows can also send texts, create CRM tasks, update ad audiences for retargeting and notify staff in chat tools.

What should I automate first?

Start with new-lead follow-up and post-purchase review requests, which are simple to build and easy to measure. Our article on what to automate first lists other processes that tend to pay back.

Do I need an expensive platform?

Not always. Many CRMs include basic automation, and connector tools can fill gaps. Choose based on the flows you actually need, not the longest feature list.
